Court Records

You can request copies of Linn County Circuit Court case records or audio hearings by filling out the appropriate form. You must provide a case number and the documents or hearing dates requesting.

If you need to look up case information, use the Online Court Records Search link below. If you cannot find the case number, type “unknown" in the case number field.

Before you request records, please read the information in the drop‑down sections below. After you submit the form, you will receive an email with a confirmation ID. If you do not receive an email with the confirmation ID number, please email the Copy Center as you may have entered your information incorrectly.

The court may take up to 5 court business days to respond and may take 10 or more court business days to complete some requests. The court may reach out to you and request more information or payment of a fee if one is applicable. If the court reaches out to you and you do not respond within 60 court business days, the court must close the request.

Court records that are not confidential or sealed are available to the public. Court staff is responsible for maintaining all documents in the local court files and assists the public with requests for copies of court documents. Record requests are handled on a first-come, first-serve basis and processed in the order received.

Police Reports – These records are not maintained by the Court. Please contact the responding or arresting law enforcement agency.

Vital Statistics (Birth or Death Records) – These records are not maintained by the Court. Please contact the Vital Statistics Department at 1-888-896-4988 to obtain these records.

Marriage Licenses and Land Deeds – These records are not maintained by the Court. Please contact the Linn County Clerk's Office at 541-967-3831 to obtain these records.

Regular Copies:

       
  • Regular copies are copies of the original document filed in the case. They can be an electronic PDF or paper copy. these are often for Individual record keeping and not used for verification to a third party.
       
Certified Copies:

  • Printed Certified Copies are copies of the original document filed in the case that is sworn to be a true and correct copy by a court clerk. The certified copy of the document includes a court's seal stamp, the court's raised embossed seal, and the clerk's signature and date. Certified copies are often required by the third party agencies.
  • Electronically Certified Copies are digital copies of the original document filed in the case that are digitally stamped in red or blue ink, signed and dated by the court clerk and delivered via email. The document must be printed in color if delivering a copy to a third-party agency.
    • Before requesting a digital certified copy, please confirm with the agency requesting the document that they will accept an electronic certification.       

  • Exemplified Copies are also called a 3-Way Certificate or Certificate of Authentication. They are true and correct copies of the original document filed in the case. The document is sworn by the Court Administrator, then the Court Administrator's signature is sworn to by a judge, and the Court Administrator then swears to the judge's signature. These copies are often required by other states and countries when copies are being filed in their local court.
  • Apostille Certified Copies are needed for certain countries for Secretary of State. It is a specialized certificate issued by the Trial Court Administrator that authenticates the signatures and seals of judges on documents intended for use in foreign countries.
  • Certificate of No Appeal is needed for certain countries for Secretary of State. A Certificate of No Appeal is a document issued by a court clerk confirming that no party has appealed a final judgment (often a divorce) within the legal time limit. It proves a judgement is final, binding, and irrevocable, commonly required for international recognition of divorce or remarriage.

Staff cannot give advice about which level of certification you may need for a document.       


If you are requesting documents because you need to file them with another agency, (e.g., Social Security, Secretary of State, DMV, etc.) verify with that agency what type of copies are needed.
       
Document & Audio Delivery Options
  • Email: Copies of case documents and audio can all be sent through email.
  • Mail: Copies of case documents and audio CDs can be sent by mail. Additional fees for postage will apply.
  • In-Person Pickup: Copies of case documents and audio CDs can be picked up at the court location where the case is filed. The court will contact you when the documents or CDs are ready for pickup.
  • Pickup at Another Court (documents only): Copies of case documents can be picked up at another court location from where the case is filed. When requesting this option, the document will be electronically certified by the court where the case was filed. The document will be available in paper form for pickup at the requested court location.

Only request a certified copy to be picked up at another court location if you are sure they are the right documents. The other court will not be able to provide a certified or any other document in the case. Please confirm with the agency requesting the document that they will accept the electronic stamp and signature on the certified copy.  

Audio Request Formats       
  • FTR Audio: Windows Based
  • MP3 Audio: MAC, iOS, etc.
  • CD: Picked up locally or mailed.

Linn County Circuit Court does not offer transcripts. Log Sheets are included.       

To play the recordings, you will need to download the free FTR Player from For The Record. Currently FTR software is not compatible with Apple products.

When you receive recordings made on an FTR system from a court, you will generally receive several .TRM files; FTR records in 5-minute blocks to simplify distribution of content, so you should see several files with .TRM after the file name. (12 .TRM files make up approximately 1 hour of audio)
       
  • To start playback, open FTR Player and click the Open button.
  • Click the manage search folders button and add a search folder to the content you want to play or click the Other... button and navigate to the folder the recordings are in and select all the files you want to play.
  • Clicking Open will start the audio playing in FTR Player. Please see the FTR Player User Guide for more information.
       
In addition to .TRM media files, FTR Player opens standard media file types such as WMV, MP3, WAV, AVI, MPG, BWF, WMA and ASF. It also integrates with FTR Log Notes for complete playback experience in production or review.

Request Fees & Forms of Payment

Court staff will notify you via phone or email with the request fees. The cost for requesting copies is as follows and is due prior to disbursement of copies.
      

Copy Fees - For any request under $5.00 the fee is waived      

Paper Copy Fees      

  • Paper Copies - $3.00 per case plus $0.25 per page
  • Paper Certified Copies - $5.00 per document plus $0.25 per page
  • Exemplified Copies - $10.00 per document plus $0.25 per page
  • Apostille Certified Copies - $5.00 per document plus $0.25 per page
  • Certificate of No Appeal - $5.00 per document plus $0.25 per page
Electronic Copy Fees
  • Emailed Copies - $3.00 per case
  • Certified Emailed Copies - $5.00 per request or case when sending certification document with a Clerk's Certificate (multiple documents)
  • Certified Emailed Copies - $5.00 per document when sending individual documents certified
Audio Fees
  • Email audio - $10.00
  • Email audio certified - $10.00 plus $5.00 certification
  • CD - $11.00
  • CD certified - $11.00 plus $5.00 certification
Miscellaneous Fees
  • Postage - Charge depends on number of pages

Forms of Payment:
      
  • In Person - cash, personal check, cashier's check, money order, debit, or credit card (Visa, MasterCard, Discover Card or American Express)
  • By Phone - cash, debit, or credit card (Visa, MasterCard, Discover Card or American Express). Your name must appear on the card you are using.
  • By Mail - personal check, cashier's check, money order. Please make checks payable to 'State of Oregon' and include the case number on the check.
